At Mila Concierge (a product of Polyq.ai, Inc.), we are committed to protecting the privacy of our Hosts and their Guests. This Privacy Policy explains how we collect, use, and safeguard information within our AI-driven concierge platform.

1. Information We Collect

We collect information to provide a seamless, intelligent experience for property management.

Host Information: When you create an account, we collect your name, email address, and billing information (processed securely via Stripe).

Property Information: We store the data you upload to the portal, including house manuals, Wi-Fi credentials, property photos, and local recommendations.

Guest Interactions: When guests interact with the Mila AI, we may collect their name (if provided) and the full transcript of the conversation to facilitate their requests.

Technical Data: We collect standard log data, including IP addresses, browser types, and device identifiers, to ensure system security and stability.

2. How We Use Information

We use the collected data strictly for the following purposes:

Service Delivery: To power the AI Concierge and accurately answer guest questions based on your specific house manuals.

AI Optimization: To refine the machine learning models associated with your properties. Note: We do not sell your property data to third parties. Your data is used to make your Mila instance smarter.

Communication: To send technical alerts, support updates, and billing notifications.

3. Data Sharing & Third Parties

Mila Concierge does not sell, rent, or trade your personal data. We only share information with trusted service providers necessary for our operations:

Infrastructure: Our platform is hosted on Amazon Web Services (AWS), utilizing enterprise-grade encryption and security protocols.

Payments: All financial transactions are handled by Stripe. We do not store credit card numbers on our servers.

AI Processing: Data is processed via secure AI APIs to generate real-time guest responses.

4. Data Security

We implement industry-standard security measures to protect against unauthorized access, alteration, or destruction of data. This includes:

Encryption: Data is encrypted both in transit (SSL/TLS) and at rest.

Access Control: Access to your Host Dashboard is password-protected and restricted to authorized users only.

5. Guest Privacy & Consent

Mila Concierge acts as a Data Processor for the host. When a guest interacts with the AI, they are notified that the conversation is being processed to assist with their stay.

Optional Data: Features like “Tell us your name” are optional. Guests may use the concierge anonymously if they prefer.

Retention: Conversation logs are retained to help hosts review guest needs and improve house manuals.

6. Your Rights & Choice

You have the right to:

Access & Correct: View and update your property and account info at any time via the Host Portal.

Data Deletion: Request the deletion of your account and all associated property data. Upon verified request, we will purge your data from our active databases within 30 days.
